1. SWOT analysis is also known as SWOT matrix, which is used for the strategic planning for the organisation. The main objective of the SWOT analysis is to evaluate the strength and weakness of the organizations along with the opportunities and threats. This evaluation helps the organization to take necessary steps for the further modification and improvisation of the business status. The main objective of this analysis is to ask some of the questions regarding the business of the organization. These questions provides meaningful information those help to generate the idea regarding the competitive advantage for the organization. Both internal and external factors of the organization are evaluated through this analysis. Strength and weakness are the internal factors while opportunities and threats are the external factors in this technique. Strategic fit is the term in this context that determines the level of matching between internal and external factors. SEOT analysis is important as it helps the organizations to identify the later steps in the planning for the business process.
2. Value chain analysis is used to analyse the gaps in the implemented ICT system. Generally value chain analysis develops through the four interconnected steps. These four steps are collection of data, mapping of the value chain, analysis of the opportunities and constraints and finding the recommendations for the further improvement. The presence of these four steps are necessary, however these steps may not occur in sequential order. The data collection is associated with the collection of data regarding the existing ICT system. The gathered information then compared with the desired result. The gap can be identified in this step. In order to fill the gap certain actions can be planned. The constraints and the opportunities for achieving those steps are needed to be evaluated. After that managing of the stakeholders in the changed environment and recommendations regarding the further improvements can be done in this context. In this way the gap in the ICT system can be identified along with that proper implementation of the further modified system in the organization can be done.
3. PEST analysis is a framework which is used for the evaluation of the environmental scanning in the strategic management of the organization. PEST analysis consists of analysis of the factors regarding Political, economic, socio culture and technological components in the organization. PEST analysis is external analysis which is used in the market research for the organization. Through this analysis an organization can understand its position in the market.
Through the PEST analysis an organization can compare its existing ICT system with the current ICT trend in the market. The gap can be identified in this case. Certain measures can be taken in this context in order to improve the business of the organization.
4. ICT asset register is the part of ICT asset management. ICT asset management is the technique that merges the financial, inventory and the contractual attributes of the organization with the ICT project cycle management and the strategic decision making for the ICT planning in the organization. ICT asset register is the way to keep the track ICT infrastructure of the organization.
In some cases making the ICT assets register is a time consuming thing but the process is not complicated. The existing systems and the components of ICT used in the company can help the organization to manage the whole system in a proper way.
The ICT asset registers are use din the future implementation of ICT project plans. On the basis of the registered things in the asset register the necessary components required for the organization can be identified. Apart from that the management and the maintenance of the ICT components can be done through the use of the ICT assets register. This will also help in the future implementation of the ICT system in the organization.
5. The gap analysis is a report that contains the current ICT practices in the organization and the required actions for the improvisation of the overall ICT system. The gap analysis report can be done from the different internal and external analysis tools such as PEST analysis.
The importance of the gap analysis report is that this report helps the management and the authority of the organization to understand the current trend regarding ICT and the existing ICT system in the organization. The report has to be made in a way that will help any people to understand the gap in the organization. Through the documentation of the current trend and the analysis of the of the ICT business any person from the management of the organization can understand and take necessary actions for the improvement of the overall situation.
6. The evaluation of the current ICT system in the organization is important as it will describe the existing IT infrastructure of the organization. Certain advantages and disadvantages are needed to be evaluated for the organization. These advantages and the disadvantages are needed to be noted down in the documentation process. The advantages will indicate the further improvement for the ICT infrastructures. The disadvantages will indicate the recommendations for the modification of the existing system. The recommendations can be made on the basis of the standard and the current IT trend in the business organization.
The comparison between the current IT system in the organization and the recommended IT system of the organization in this context can be helpful. The identification of the advantages and the disadvantages can be identified through this comparison.
7. Change in the management plan is important for the implementation of the new ICT system in the organization. The management plan is important for providing the guideline regarding the use of the ICT system in the organization along with the maintenance of those systems. In this case, if the changes in the ICT systems in the organization happens in the organization revised management plan is needed to be implemented as the modifications are needed to be made in the usage of the modified ICT system.
The changes in the existing system is done on the basis of achieving the objectives and the aims for the changing. The objectives of the modifications can be well understood through the implementation of the changes in the management plan. The documentation of the changes along with the justifications can be done through the use changing the management plan.
8. Action plan can be used during the initialization of the changes in thee ICT system of the organization and the management plan. Action plan consists of the proposed actions needed to be taken in order to implement the changes. Moreover the proper justifications are provided to carry out the actions for the implementation of the changes. These actions or steps are taken after the decision making process in the managerial level.
The information stored in the action plan are the actions those are needed to be taken along with the justifications of those actions. Apart from that the name of the employees to whom the work has been assigned. Apart from that the proposed timeline for fulfilling those actions are mentioned in this action plan.
